Production Coordinator

Job Purpose

  • Manage the administration across all Gateway Theatre productions and events.
  • Ensure provision of effective administration for all company productions and events.
  • Coordinate all communications between technical team, facilities and client, to ensure Hirer’s productions and events runs smoothly.

Duties and Responsibilities

  • Liaise with Hirer to ensure that technical requirements for productions and events are met.
  • Liaise with the Technical team, Sales team and Facilities team to ensure that requirements for production and events are met.
  • Attend site recce with the Sales team pertaining to venue hire.
  • Arrange and attend production meetings with Hirer and relevant technical team members.
  • Responsible for preparing schedules, detailed logistical plans and contact sheets for multiple events.
  • Ensure venue specifications, site maps and all signages are done to a high standard.
  • Produce two dimensional drawings, layouts and site maps using CAD.
  • Provide administrative support for the contracting of technical staff.
  • Advise departments within the company of deadlines for production administration.
  • Assist with site set up and tear down if necessary.
  • Assist with front-of-house duties if necessary.
  • You may be required to carry out other duties, which are within your capabilities and level of responsibility, in order to meet the needs of the events.

Person Profile

Essential:

  • Comprehensive experience of production process in theatre or similar performance arts environment.
  • A good sense of humour.
  • Detail-oriented, creative and flexible.
  • Able to work independently and as a team player.
  • Able to take initiative and effectively adapt to changes.
  • Able to work efficiently and productively under tight deadlines.
  • Proficient in time management, with the ability to organise and manage multiple priorities.
  • Excellent written and verbal communication skills.
  • A good knowledge of technical and site equipment.
  • Strong analytical and problem solving skills.
  • Experience working within events.
  • Able to do hands-on physical work.
  • Able to work weekends to support events.
  • A desire to develop a career in production management in live events.

Required Skills:

  • Understanding of standard theatre working agreements.
  • Proficient use of spreadsheet and word processing software.
  • Able to do simple diagram layout on CAD.
  • Able to use Photoshop to do simple editing to flyers.
  • Able to use Ungerboeck, a venue booking system.
  • Knowledge of travel and logistics scheduling and booking.
